COndo Association Management Overview
Our unique difference is that we offer a high-tough full service property management program. We are designers/builders so we have the eye and passion for detail. We walk our properties weekly and take care of minor repairs immediately. We manage proactive maintenence, repairs and upgrades with our contracted trades and/or our personnel. This enables us to ensure your property is well maintained and maximizes its value.
Our Services Include
Accounting Duties:
· Bill, receive, deposit HOA fees
· Conduct collection efforts when required
· Prepare bank reconciliations
· Receive, process and pay monthly bills
· Bill and collect special assessment, fines, move in/move out fees, etc.
· Prepare monthly financial reports and overview
· Prepare and manage to annual budget
Building/Facilities Mgt:
· Walk building at least weekly – inspecting for damage, everything is working, compliance to rules
· Notify/manage compliance of common rules with residents
· Perform minor maintenance (up to 2 hrs. per month): replace lightbulbs, pick up trash, pull weeds from front, garage/garbage area in good condition, minor cleaning, etc.
· Emergency management – coordinating response and communication
Supplier/Supplies Management:
· Manage urgent repairs/special projects (eg. roof repair, electrical, etc)
· Manage scheduling of ongoing and periodic supplier maintenance/quality
· Receive and resolve maintenance requests
· Ensure licenses, inspections, maintenance are up to date
· Purchase and ensure inventory of building supplies (eg. propane, lights, ice melt)
Board and Governance:
· Attend/lead up to 2 board meetings per year
· Advise board on condo issues/by laws
· Provide monthly updates on activities/to-dos
· Work together with board on capital project prioritization, budgets, assignment of tasks
· Prepare monthly financial and operational update to association owners
· Prepare/distribute notices to owners (e.g. rules, utility issues, move/move outs, etc.)
· Manage legal issues (e.g. Liens)
· Obtain/maintain copies of all leases, residents contacts, etc.
Move In/Move Out:
· Prepare sales kits for owners selling
· Work with sales agents to provide necessary documentations for closing
· Prepare/receive outstanding fees at closing
· Update call box, mailbox, keys and communicate/manage move in/out process for owners/renters
· Notify owners of move in/move out
Financing/Refinancing Support:
· Respond to questionnaires, provide financials, etc.
